Due to volume in work load, our client, a leading not for profit organisation, is looking to recruit an HR Administrator to support the HR team. This would suit a sandwich year placement student looking to gain entry into HR, an HR graduate looking for their first role in HR, a career returner with strong administration skills looking to step back into the world of work or an Administrator looking to work in HR.
Key responsibilities include:
Manage the HR email inboxes, responding to enquiries and referring issues for HR advice, as required.
Payroll administration on a monthly basis, including collating documents
Enter data within set deadlines and accurately for staff onto the HR database such as changes in salary, hours, job title
Compile relevant HR letters such as flexible working, changes, absence, maternity, paternity etc
Compile absence management data to managers on a monthly basis.
Create and maintain HR records including manual and electronic filing systems, including employee records, new starters, leavers etc.
Organise and coordinate staff meetings, away days, group training and other meetings and events.
Minute taking for relevant meetings
Compile the appraisal forms, assisting with internal communications, ensuring documentation is completed and collating information for HR reports.
General administration including processing invoices, scanning, photocopying, filing, updating documents.
Training administration including arranging courses, pre-training and post-training assessments, record-keeping and monitoring training needs via performance management processes.
To provide general administration support to the HR department as required including filing, telephone answering, scanning, photocopying and emails.
Maintain and update electronic and hard copy personnel records including absence, holidays, starters and leavers, benefits and equality and diversity.
Compile relevant data as requested
Provide information to and liaise with the payroll team to ensure staff are paid correctly and on time.
Responsible for all starter and leaver processes
Any other duties commensurate with role and grade as requested by the Head of HR and HR Coordinator.
Provide full customer service on reception, providing an efficient switchboard / working reception service as and when needed.
Recruitment & Selection:
To provide administration support to the recruitment and selection process including:
Place of advertisements
Liaise with recruitment agencies
Manage candidate correspondence including invitations to interview
Acting as point of contact for any candidate queries during the recruitment and selection process
Support the shortlisting and selection of applicants, including the preparation of documentation for managers
Arrange assessments and diary management
Provide references for current and ex employees
To provide managers with induction templates and ensuring all mandatory training completed within set deadlines
Manage the recruitment agency preferred supplier list
To ensure the recruitment and selection policy and procedure are adhered to and all relevant regulatory checks are completed; proof of right to work, reference and DBS checks
Monitor recruitment and selection data to contribute to HR reports/ KPI's to inform decision-making.
Compile all relevant information to ensure staff are paid
Produce and issue all offer letters and employee contracts
Support the implementation and maintenance of the HR system.
Provide relevant probation review documents, ensuring the relevant documentation are completed within the probation timelines and draft letters accordingly.
